Paper Preparation Guidelines

1. SUBMISSION OF ABSTRACTS

Abstracts must be prepared in both Turkish and English. As submitted abstracts will be published exactly as uploaded to the system, without any editing or correction, authors must ensure compliance with spelling and grammar conventions. Authors are responsible for any errors in their submissions.

Abstracts must be submitted via the online submission system available on the symposium website. Submissions sent by email or post will not be considered.

Points to Consider When Uploading an Abstract

1. Abstracts will be collected through the online abstract submission system.

2. Academic titles must not be included in authors’ names.

3. Authors’ first names and surnames must be written with only the initial letters capitalised.

4. Authors’ institutional affiliations and departmental information must be provided in full.

5. Only the first letter of the first word in the abstract title should be capitalised. Abbreviations and proper nouns are exempt from this rule.

6. Where abbreviations are used in the abstract, the term must be written in full at its first occurrence, followed by the abbreviation in parentheses.

7. The abstract must clearly and comprehensibly state the aim, methodology, key findings, and conclusion of the study. The findings must be presented with sufficient quantitative or qualitative detail appropriate to the nature of the study.

8. When uploading the abstract, the information requested in the designated system fields must be entered without adding separate headings.

9. Each Turkish and English abstract must not exceed 300 words, excluding the abstract title, authors’ names, and institutional affiliations.

10. A minimum of three and a maximum of five keywords must be provided for each abstract. Keywords other than proper nouns must be written in lower case and separated by commas.

11. Submissions may be made for either oral or poster presentation. Applicants must select the presentation format and subject category most appropriate to their study during the submission process.

12. Abstracts must be prepared in text format. Where necessary, a maximum of one figure and one table may be included in the abstract.

13. References must not be included in abstracts.

2. ABSTRACT REVIEW PROCESS

Abstracts will be evaluated entirely online through a blind peer-review process. During the evaluation, the authors’ names, surnames, and institutional affiliations will be concealed from the reviewers.

Each abstract will be evaluated by two reviewers from the Abstract Review Committee in terms of scientific content, originality, methodology, relevance to the symposium themes, and clarity of presentation.

The evaluation results will be communicated to the authors in writing via the email addresses registered in the system.

For an accepted abstract to be included in the symposium’s scientific programme, the presenting author must complete the symposium registration process within the specified period.

3. PRESENTATION OF ORAL PAPERS

1. The paper must be presented by the author or one of the co-authors.

2. Papers may be presented in either Turkish or English.

3. Presentations must be prepared to last a minimum of 10 minutes and a maximum of 15 minutes. The exact presentation duration will be announced separately in accordance with the session programme.

4. As questions, contributions, and discussions will take place at the end of the session, the presenting author must remain in the room until the session has concluded.

5. Papers whose abstracts have been accepted but which are not presented at the symposium will not be published in the symposium proceedings.

4. E-POSTER PRESENTATIONS

Papers accepted as e-posters must be uploaded through the designated section of the online system.

E-posters will be displayed digitally on e-poster kiosks installed at the symposium venue. These papers will be included in the “Poster Presentations” section of the symposium proceedings to be published after the symposium.

For an e-poster to be presented at the symposium and published in the proceedings, at least one of the authors must have completed the symposium registration process.

E-posters that are not presented as part of the symposium will not be published in the proceedings.
